This page is a plain-language summary of how a licence works. The document that actually binds you is the licence agreement, which you read and accept at checkout and which is stored against your order. Billing detail lives in the payment policy, and personal data in the privacy policy. Where this summary and the agreement differ, the agreement governs.
1. What you are buying
A licence to install and run one copy of the HotelOS hotel management system on the domain you nominate, for the term shown on your order. You are not buying the source code outright and you may not resell, sublicense or redistribute it.
2. The licence key
After payment we issue a licence key and a secret key. They authenticate your installation against our licence server. Keep the secret key private — anyone holding both values can activate an installation in your name. We may suspend a licence we can show is being used on domains it was not issued for.
3. Term, renewal and grace
The term runs from the day the licence is issued. Your installation begins showing a renewal notice 30 days before expiry, and keeps working for a grace period after the expiry date. After the grace period the system locks until the licence is renewed. Your data is untouched — it is on your server — and renewing restores access immediately.
4. What we provide
Updates and support at the level of your plan, for the licence period. We aim to respond within the times stated on your plan, and to keep the licence server available; we do not guarantee uninterrupted service and our liability is limited to the fees you have paid in the preceding twelve months.
5. What you are responsible for
Your hosting, your backups, your domain, your payment gateway accounts, and the lawful use of the guest data you collect. The system runs on your infrastructure, so we have no access to your guest records unless you explicitly give it to us during a support request.
6. Payment and refunds
Fees are payable in advance and are exclusive of tax unless stated. Because the licence is issued and bound to your domain on delivery, we do not offer refunds once a key has been generated. If the system cannot be made to work on hosting that meets the published requirements, contact us within 14 days of the licence being issued and we will refund it in full.
7. Moving or transferring the licence
Changing hosting or domain is free — raise a request from your account or contact support. Transferring the licence to a different owner requires our written agreement, which we will not unreasonably withhold.
8. Ending the agreement
You may stop using the system at any time. We may terminate a licence for non-payment, for redistribution of the software, or for use that is unlawful. On termination you must remove the installation.
9. Using this website
Do not attempt to break into, overload or probe this site, scrape it at a rate that degrades it for others, or use it to send anything unlawful. We may suspend access if you do. The content of this site is ours or our licensors'; you may quote it with attribution but not republish it wholesale.

We acknowledge a complaint within 48 hours and aim to resolve it within one month, as the Consumer Protection (E-Commerce) Rules 2020 and the IT Rules require.
